COMMUNICATION & WRITTEN RELIANCE
Aperture Research Works uses a documentation-led communication model. Live conversations can help us understand context, but material scope, pricing, findings, acceptance and commitments are confirmed through an approved written record.
Important research can involve nuance, technical language, changing evidence and different interpretations. Written communication lets instructions be checked, scope be controlled and material positions be reviewed before reliance.
Paul’s primary public role is research governance, evidence standards, investigative direction, methodological control, quality review, adversarial challenge and final human judgement where applicable. He does not ordinarily conduct routine prospect calls or ordinary sales meetings.
Xandro may handle limited introductory or clarification conversations where a live discussion is genuinely useful. His role is orientation, information gathering and transition into the documented Aperture process. Live discussion does not replace written scope or approval.

A live conversation may help identify the question, decision, context, evidence need and possible next step. It does not by itself establish final scope, price, delivery date, finding, guarantee, acceptance of a matter or another material Aperture Research Works commitment.
Unless an executed agreement or applicable law provides otherwise, Aperture’s material position is the subsequent approved written confirmation issued through an authorised written channel.
Where legally permitted and properly disclosed, a live business meeting may be recorded and transcribed for accuracy, instruction capture, context preservation, quality control and follow-up.
Never assume recording is automatic. Applicable law, privacy requirements, notice, consent, contractual duties and platform rules govern whether recording is appropriate.
A recording or transcript is a source record of what was discussed. It does not itself mean that Aperture accepted every statement, estimate, proposition or requested term.
Recording = record of discussion. Written confirmation = governing Aperture position.
Aperture may issue a written follow-up recording what we understood, the request, relevant facts supplied, unresolved questions, limitations, possible scope, next steps and any commercial terms or commitments Aperture is prepared to confirm.
If a material point was misunderstood, unsupported by evidence, outside scope, restricted by law or professional boundaries, or otherwise requires qualification, Aperture may correct or qualify that point in the written follow-up.
For material instructions, scope, commercial terms, confirmed findings and approved positions, rely on the written Aperture communication, subject to the applicable agreement and law.
A statement made during a meeting may be important context, but it retains its evidentiary status. Aperture distinguishes between what a person said, what the available evidence establishes and what Aperture ultimately concludes.
No conversation bypasses Aperture’s evidence, privacy, confidentiality, jurisdiction, professional-boundary, AI-use, human-review or release controls.
The question and intended use can be checked before research begins.
Price, timing, exclusions and deliverables are not left to memory or assumption.
Statements from a conversation remain distinguishable from independently established facts and released findings.
Recordings, transcripts and related records are retained only in accordance with applicable Aperture privacy, security, legal, contractual and retention requirements.
WHERE THIS APPLIES
Contact Us, Discuss a Matter, Executive Research Desk and relevant forms explain that initial contact is not automatic acceptance and that material engagement terms return to writing.
If a live meeting is arranged, its purpose and any applicable recording/transcription notice should be communicated before the meeting. Aperture does not rely on a hidden policy discovered later.
Pricing, proposals, scope and deliverables are governed by the approved written commercial record, subject to applicable law and any executed agreement.
RECORD TYPES
Recording is a record of what was said. Transcript is a working textual record of that discussion. Either may contain statements that still require verification, qualification or approval.
An internal reviewed meeting record captures Aperture’s processed understanding. The approved written follow-up is the external Aperture position for material reliance, subject to applicable law and any valid agreement.
AFTER A MATERIAL MEETING
Where appropriate, Aperture may preserve the lawful meeting record, transcribe it, identify instructions and open questions, classify material factual statements, apply privacy and evidence controls, review what was actually requested and issue written follow-up.
MESSAGING & VOICE NOTES
Messaging may be used for contact, logistics or clarification. Material scope, pricing, findings and commitments must return to approved written Aperture communication.
If voice notes are accepted, they are incoming recorded information, not substitutes for final written agreement. Material instructions derived from them are documented and confirmed appropriately.
PRIVACY, SECURITY & RETENTION
Recording, transcription, storage and processing remain subject to applicable privacy law, recording law, notice or consent requirements, contractual obligations, confidentiality, access controls, security, retention and deletion requirements. Aperture does not claim an internal policy can override those requirements.
Where third-party meeting, transcription, storage or AI services are considered for sensitive or confidential material, the service and proposed use must be assessed responsibly before that material is processed.
AUTOMATED COMMUNICATION
If Aperture later enables a chatbot, Appy or another automated interaction, material questions must still route into the approved documented process. Automated or AI-generated website communication remains subordinate to Aperture governance and human approval.
Asynchronous voice intake
A prospect may leave a voice note through the website. The recording may be transcribed and processed to identify the question, decision, evidence issue, deadline and appropriate routing. The transcript is a working written record. Aperture does not treat a voice submission as final scope, pricing, acceptance, finding, commitment or reliance. Material matters remain subject to human review and written confirmation.
